Job Description & Requirements

Executive Support
  • Manage and maintain the Managing Director’s schedule, appointments, and travel arrangements.
  • Screen and prioritize incoming correspondence, phone calls, and emails; handle or redirect as appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Ensure the Managing Director is well-prepared for meetings, including compiling meeting materials and briefings.
Meeting Coordination
  • Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Liaise with department heads and external stakeholders on behalf of the Managing Director.
Office Administration
  • Maintain filing systems (electronic and physical) for confidential and business records.
  • Oversee general office administration related to the Managing Director’s office, including stationery and document management.
  • Coordinate approvals, signatures, and document flow requiring the Managing Director’s review.
Communication and Liaison
  • Serve as the primary point of contact between the Managing Director and internal/external parties.
  • Draft and proofread official correspondence, announcements, and communication materials.
  • Handle confidential information with integrity and discretion.
Project and Event Support
  • Assist in coordinating company events, executive meetings, and key initiatives.
  • Support follow-ups on management decisions and track progress on key action plans.
Requirements
  • Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, or related field.
  • Minimum 3–5 years of experience supporting senior management
  • Strong organizational, multitasking, and time management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
