Job description

We are seeking an organized and detail-oriented IT Coordinator to join our team. This role involves coordinating our technical schedules, managing administrative tasks, and serving as a key communication link between our customers, sales, and IT departments.

Key Responsibilities
  • Scheduling & Resource Management:

    • Plan and arrange the daily schedules for IT Engineers and Interns, primarily for backfills and project deployments.

    • Coordinate IT Engineer schedules for on-site, outsourced, and in-house projects on a daily basis.

    • Manage intern schedules for technical deployment assignments.

  • Customer & Inter-Departmental Liaison:

    • Serve as the primary point of contact for handling incoming calls and enquiries from corporate customers.

    • Answer email correspondence in a prompt and efficient manner.

    • Liaise closely with the Sales Department & IT Department on all after-sales matters.

    • Coordinate effectively and professionally with the sales team, clients, technical staff, and management.

  • Administrative & Inventory Control:

    • Maintain service items inventory control.

    • Arrange delivery logistics when needed.

    • Maintain neat and timely updates on service form inputs to our internal system.

    • Maintain proper records for billing purposes.

    • Handle any ad hoc administrative requirements from the Manager.

Requirements
  • Communication Skills: Strong communication skills and a customer service attitude are essential.

  • Technical Aptitude: Previous exposure or knowledge of IT concepts is preferred to understand the requirements of the engineer scheduling.

  • Work Attitude: Must be highly detail-oriented, possess strong adherence to processes, and be able to take direction well within a team structure.

  • Flexibility: Willingness to perform overtime (OT) when required to meet operational needs.

  • Organizational Skills: Proven ability to manage complex schedules and multiple tasks efficiently.
