Role Summary
We’re hiring a Junior Business Process Analyst to improve how work gets done across multiple projects (you will rotate between different operational workflows over time). Your role is to understand the current process, identify gaps and inefficiencies, and implement practical improvements—through clear documentation, simple controls, measurable KPIs, and well-defined requirements. Business analysis, at its core, is about enabling change by defining needs and recommending solutions that deliver value to stakeholders.
Key Responsibilities
1) Process discovery & documentation
- Map end-to-end workflows (“AS-IS”) using flowcharts or BPMN swimlanes (handoffs, decision points, inputs/outputs). (omg.org)
- Document and maintain SOPs, checklists, templates, and role responsibilities to make execution consistent across teams and projects.
2) Process improvement & controls
- Analyze bottlenecks, rework loops, and rejection/error patterns; conduct root-cause analysis and propose “TO-BE” improvements.
- Implement lightweight controls (e.g., “ready-to-submit” gates, completeness checks, naming/versioning standards, escalation rules) that reduce avoidable errors without slowing teams down.
- Support standardization across projects while allowing for project-specific variations where needed.
3) Requirements & stakeholder coordination
- Work with stakeholders (ops, admins, site teams, subcontractors, finance, etc.) to gather needs, clarify pain points, and translate them into clear, testable requirements and acceptance criteria.
- Facilitate short working sessions to align on process changes, definitions of “done,” and ownership.
4) Tracking, metrics & reporting
- Design and maintain trackers/dashboards (Excel/Sheets) for status management, SLAs, exceptions, and audit readiness.
- Define and monitor KPIs (cycle time, first-time-right, backlog ageing, defect/rejection rate), and run weekly review cadence with stakeholders.
5) Change rollout & adoption
- Roll out new SOPs/checklists/tracking with simple training and feedback loops.
- Monitor whether changes are followed in real operations and adjust to improve adoption.
Requirements (Must-Have)
- Degree in Business, Engineering, Operations, or related.
- 1–2 years experience ; experience in operations/admin/project environments is a plus.
- Strong Excel/Google Sheets skills (tracking, reconciliation, basic analysis).
- Ability to communicate clearly with different stakeholders and drive follow-ups to closure.
- Comfortable working in a rotating, multi-project environment.
Nice-to-Have
- Familiarity with BPMN/process modelling concepts. (omg.org)
- Exposure to process improvement methods (Lean basics, standard work, continuous improvement).
- Experience with tools like Visio/Lucidchart/Miro, Jira/Trello, SharePoint/Google Drive document control.
