Description

The HR & Admin Executive is responsible for supporting the full spectrum of human resource and administrative functions. This includes recruitment, onboarding, training coordination, staff welfare, documentation, and general office administration. The role ensures the smooth operation of daily HR processes while also supporting employee engagement and compliance with organizational policies.

Key Responsibilities:
1. Recruitment & Onboarding
  • Manage end-to-end recruitment process: job posting, screening, interviewing, and onboarding.
  • Coordinate pre-employment medical checks and background screenings.
  • Prepare and serve Letter of Appointment (LOA), Employee Handbook, and Code of Conduct.
  • Conduct new hire orientation and ensure timely registration for time attendance/clocking systems.
  • Issue necessary company property and equipment to new hires.
  • Maintain and update staff contact list and personnel files (P-Files).
2. Employee Records & Administration
  • Open and maintain organized and up-to-date employee personnel files.
  • Update employee insurance coverage upon onboarding, promotion, or separation.
  • Maintain and update staff photo boards and locker room assignments.
  • Manage and maintain administrative files and documentation.
3. Learning & Development
  • Coordinate full-cycle training and development programs.
  • Administer training grant applications and claims.
  • Maintain training records and ensure compliance with statutory and internal training requirements.
4. Employee Engagement & Welfare
  • Organize staff events, recreational activities, and wellness initiatives.
  • Coordinate staff recognition and compliments programs.
  • Support initiatives that promote a positive and inclusive workplace culture.
5. Offboarding
  • Facilitate the offboarding process including clearance forms, exit interviews, and return of company property.
