Job Summary

Job Role & Responsibilities
- Assist in handling day to day HR operations and staff matters for all centres.
- Monitor staff attendance and ensure records are accurate and up to date.
- Prepare and issue HR official letters for centre staff i.e. Job Transfer, Acceptance of Resignation, Redesignation, Extended Leave, Employment Conversion, Sabbatical Leave etc.
- Support the renewal processes for all types of work passes.
- Manage Work Permit transactions.
- Support well-being and accommodation arrangements for foreign students and workers.
- Manage and monitor the renewal of all type of work passes and Letters of Consent (LOCs). Initiate the renewal process with the required renewal forms at least one month before the termination notice period ends. For successful renewal cases, prepare new letter and ensure it is signed in advance — aligned with the contract’s termination period and company policy. Maintain accurate tracking and ensure timely execution of all associated requirements.
- Track and process air ticket arrangements and claims.
- Maintain employee records and ensure confidentiality and compliance with company policies.
- Maintain and update HQ Contact List on a monthly basis.
- Coordinate with various departments and centres to streamline HR operations.
- Provide administrative support to the team as required.
- Any other ad hoc duties as assigned by the superior/HOD.
Skill and Knowledge
- Diploma or Degree in Human Resource Management, Business Administration, or related discipline.
- 1–3 years of experience in HR administrative or support roles is preferred.
- Knowledge of HR operations, employment laws, and statutory requirements.
- Familiarity with handling staff insurance and welfare programs is an added advantage.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office applications (Excel, Word, Outlook).
- Able to multitask and work effectively in a fast-paced environment.
- Excellent communication and interpersonal skills.
- High level of professionalism and discretion in handling sensitive information.
