A leading HR management firm in Singapore is seeking a skilled professional for the role of Training Administration. The successful candidate will coordinate training programs, manage HR operations, and ensure compliance with regulatory standards. Key qualifications include a Diploma/Degree in Human Resource Management and experience in HR operations. Strong communication and organization skills are essential for managing training documentation and liaising with stakeholders. Coordinate full training administration, including course registrations, participant enrollment, and scheduling.
Handle training-related payments such as vendor invoices, and reimbursement processing.
Manage post-training processes, including distributing, collecting, and tracking evaluation forms and feedback.
Administer training grants (e.g., SSG/WSG), including application, submission of supporting documents, claims tracking, and ensuring compliance with funding requirements.
Maintain accurate training records, attendance lists, certificates, and documentation for audit purposes.
Liaise with training providers, internal departments, and employees to ensure smooth training operations.
Monitor training budget utilization and prepare periodic reports as required.
Maintain HRIS data accuracy and generate basic HR reports.
Assist in onboarding and offboarding processes.
Handle general HR queries from employees.
Manage end-to-end Work Pass applications, renewals, cancellations, and appeals through MOM systems.
Ensure timely submission of required documents and maintain accurate records.
Liaise with employees and government agencies on pass‑related matters.
Prepare employment contracts, onboarding documents, and new‑hire kits.
Lead and coordinate HR audits, ensuring all processes, documentation, and employee files meet regulatory and company standards.
Ensure compliance with MOM regulations and internal policies.
Maintain proper filing of HR documents.
Contact shortlisted candidates and schedule interviews with hiring managers.
Assist in posting job advertisements and screening applications.
Maintain and update recruitment trackers and candidate databases.
Support pre‑employment checks and offer issuance.
Diploma/Degree Human Resource Management, Business Administration, or equivalent.
Experience in HR operations and training administration required.
Knowledge of MOM regulations and work pass processes is required.
Able to adapt effectively to dynamic and evolving situations independently.
Strong communication and coordination skills.
Meticulous, organized, and able to handle confidential information.
Proficient in MS Office (Excel, Word, PowerPoint).
