Job summary

A leading logistics firm in Singapore is seeking an HR Administrator to manage recruitment and onboarding processes, daily operations, and record keeping. Candidates should have GCE ‘O’ level or an HR certificate, with at least 3 years of experience, and proficiency in MS Office. This position includes a variable bonus and employee benefits. The role is based on Jurong Island.

Qualifications

Responsibilities

  • Coordinate the end-to-end recruitment process, including placing job advertisements and arranging interviews.
  • Facilitate all necessary pre‑employment and onboarding processes.
  • Manage daily lunch menus in SharePoint and place lunch orders.
  • Handle monthly vendor invoices and perform goods receipt transactions.
  • Compile and report monthly man‑hours data.
  • Serve as the main point of contact for staff and contractor pass issuance.
  • Sort and distribute incoming mail and manage outgoing mail.
  • Collect and archive medical certificates monthly into the shared drive.
  • Ensure timely update of all Company records and Licenses.
  • Assist HR team in coordinating periodic OH medical checks.
  • Perform general administrative duties to support office operations.

Job Description
Responsibilities
  1. Recruitment & Selection: Coordinate the end-to-end recruitment process, including placing job advertisements, shortlisting applicants, and arranging interviews with Line Managers.
  2. Facilitate all necessary pre‑employment and onboarding processes for new hires to ensure a smooth transition into the company.
  3. General Administration: Manage and update daily lunch menus in SharePoint, consolidate and place lunch orders with the appointed vendors.
  4. Handle monthly vendor invoices by initiating purchase requisitions and performing goods receipt transactions.
  5. Compile and report monthly man‑hours data.
  6. Serve as the main point of contact for staff and contractor pass issuance, including company staff passes and Jurong Island (JI) pass registration.
  7. Sort and distribute incoming mail to designated departments and manage the dispatch of outgoing mail to external organizations.
  8. Documentation & Record Keeping: Collect and archive medical certificates monthly into the shared drive.
  9. Maintain all personnel files ensuring strict confidentiality of information.
  10. Maintaining, and ensuring timely update of all Company records and Licenses.
  11. Occupational Health (OH): Assist HR team in coordinating periodic OH medical checks by liaising with appointed clinics and relevant Line Managers.
  12. Others: Perform general administrative duties to support office operations.
  13. Any other duties as assigned from time to time.
Requirements
