Job summary

Job description
Roles & Responsibilities
  • Prepare and conduct New Employee Orientation Program to all new employees.
  • Coordination of various courses/training programmers for employees, submission of training applications, grant applications and follow-up on outcome of applications.
  • Maintain and update personal files and leave records of all employees and ensure easy reference by HR and Admin department.
  • Handle MOM surveys and government subsidies which include foreign worker levy waiver application and grant applications.
  • Handle monthly work-pass related matters, including application, renewal, issuance and cancellation as per MOM regulations.
  • Manage and co-ordinate new employee’s orientation and onboarding process by sharing onboarding packages and explaining company policies and ease them into new working environment.
  • Administer relevant documents pertaining to employees’ employment, resignation, termination, confirmation, contract renewal, appraisal and etc.
  • Handles whole process of final settlement & exit-clearance of Indirect staffs.
  • Involves in grievance and disciplinary issues.
  • Manage the staffing needs of the organization.
  • Perform monthly payroll processes using PayAdvisorMobile, CPF Submission, and update e-leave record.
  • Responsible for statutory payment submission and claims - CPF, FWL, IRAS (IR21, IR8A), NS claims, Government-Paid maternity, Paternity and childcare Leave, Mediation (TADM), etc.
  • Maintain medical claim and leave record for all employees and workers.
  • Arrange accommodation and housing necessities for foreign workers.
  • Check on workers welfare.
  • Update foreign employees’ residential address to MOM.
  • Claim back levy for foreign employee who went back to India for home leave.
  • Renew insurance for work injury compensation, public liability, burglary, fire, foreign worker medical, personal accident (overseas) and vehicle.
  • Arrange vehicles for maintenance, repair or inspection.
IT Matters
  • Handle office IT issues (laptops, software, hardware, CCTV, E-mail and WEB, etc.).
  • Arrange for repairs of computers and other office equipment and find alternative solution for employee to carry out work due periods of equipment shutdowns.
Administration
  • Liaise with external partners, like insurance vendors, and ensure legal compliance.
  • Constant following up on outstanding matters.
  • Procurement Support is important.
  • Submission and renewal of ISO 9001:2015, ISO 14001:2015, ISO 45001:2018, bizSAFE Star, Green&Gracious.
  • Submission and renewal of BCA CRS for CW01 & CW02 for the company.
  • Familiar with payroll software payadvisormobile and autocount software would be an advantage.
  • Other adhoc duties as assigned.
