Job Description

We are seeking a dedicated and detail-oriented HR Admin Executive to support both human resources and administrative functions. This role involves managing recruitment activities, onboarding, employee engagement, and HR documentation, as well as overseeing general office administration and travel arrangements. The ideal candidate should be organized, proactive, and able to multitask effectively in a dynamic work environment.

Key Responsibilities
  • Support end-to-end recruitment activities, including job postings, shortlisting, interview scheduling, and reference checks.
  • Conduct new employee orientation and manage onboarding to ensure a smooth integration into the company.
  • Handle work pass applications, renewals, and cancellations in compliance with regulatory requirements.
  • Organize company events, staff engagement, and learning and development programmes.
  • Maintain accurate and up-to-date employee records, including attendance and leave tracking.
  • Monitor and update staff attendance and leave records regularly.
  • Manage general office administration, including pantry and stationery supplies, vendor coordination, and office maintenance.
  • Coordinate staff travel arrangements such as flights, accommodation, visas, and travel insurance.
  • Prepare and publish monthly internal communications and updates for the company’s electronic notice board.
  • Handle incoming calls and direct them to the appropriate personnel in a professional and timely manner.
  • Perform other relevant duties and administrative support tasks as assigned by Management.
Requirements
  • Diploma in Human Resources, Business Administration, or equivalent qualification.
  • Minimum of 1 year experience in an administrative or HR-related role.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Good understanding of HR practices, including recruitment, onboarding, and work pass administration.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal skills to engage effectively with employees at all levels.
  • Able to work independently, under pressure, and meet deadlines in a fast-paced environment.
