Job summary

A leading recruitment agency in Singapore is seeking an Administrative Executive to manage clerical tasks, support billing processes, and coordinate meetings. The ideal candidate will have at least 2 years of relevant experience, strong organizational skills, and proficiency in Microsoft Office. This position is based in Queenstown and offers a salary of up to $3200.

Qualifications

  • Minimum 2 years of experience in clerical and administrative duties.
  • A good understanding of accounting and figures.
  • Experienced in Microsoft Word, Excel, and Power Point.

Responsibilities

  • Check and verify patients’ bills for accuracy.
  • Maintain and update all contracts for consumables used.
  • Monitor utilization of consignment items and top-up as necessary.
  • Co-ordinate meetings and arrange catering requirements.
  • Handle purchase and work requisition processes.
  • Support onboarding and offboarding of staff.
  • Perform administrative tasks like filing and sorting documents.
  • Answer phone calls and handle enquiries.

Job description

Salary: Up to $3200

Location: Queenstown

Working hours: Mon-fri, office hours

Job Responsibilities
  • Checking and verifying patients’ bill for all OT cases, ensure correct billing to patients. Ensure invoicing is done accurately and timely to vendors for all consignment items.
  • Maintain and update all contracts for implants and consumables used in OTs (e.g. pricing, purchase order start date, item code etc.)
  • Monitoring of utilization for all consignment items and take action to top up when utilization is high.
  • Co-ordinate meetings, book venues, collate agenda and arrange for catering requirements when necessary.
  • Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for payment.
  • Support onboarding and offboarding of clinician and department staff.
  • Perform typing, faxing, sorting, filing, scanning, photocopying and recording of documents and forms.
  • Answer phone calls, handle enquiries, record and convey messages.
  • Perform any other duties assigned by supervisor.
Requirements
