Job summary

A recruitment firm in Singapore is seeking an Administrative Assistant to support various clerical tasks, manage invoicing, and facilitate communication within the hospital. Candidates should have a minimum of GCE 'A' or Diploma and at least 2 years of experience in administrative duties. Proficiency in Microsoft Word, Excel, and PowerPoint is essential for this role. Responsibilities

  • Check and verify patients’ bills for all OT cases.
  • Maintain and update contracts for implants and consumables.
  • Monitor utilization for consignment items.
  • Co-ordinate meetings and arrange for catering.
  • Handle purchase and work requisition processes.
  • Support onboarding and offboarding of staff.
  • Dispatch outgoing mails and distribute incoming mails.
  • Perform typing, faxing, sorting, filing and scanning.
  • Answer phone calls and handle enquiries.
  • Perform other duties assigned by supervisor.

Skills

Understanding of accounting and figures

Job description

Salary: Up to $3200

Location: Queenstown

Working hours: Mon-fri, office hours

Job Responsibilities
  • Checking and verifying patients’ bill for all OT cases, ensure correct billing to patients. Ensure invoicing is done accurately and timely to vendors for all consignment items.
  • Maintain and update all contracts for implants and consumables used in OTs (e.g. pricing, purchase order start date, item code etc.)
  • Monitoring of utilization for all consignment items and take action to top up when utilization is high.
  • Co-ordinate meetings, book venues, collate agenda and arrange for catering requirements when necessary.
  • Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for payment.
  • Support onboarding and offboarding of clinician and department staff.
  • Dispatch outgoing mails to other departments within the hospital, as well as to external parties. Distribute incoming mails to the dept.
  • Perform typing, faxing, sorting, filing, scanning, photocopying and recording of documents and forms.
  • Answer phone calls, handle enquiries, record and convey messages.
  • Perform any other duties assigned by supervisor.
Requirements
  • Min. GCE ‘A’ or Diploma in any field
  • Minimum 2 years of experience in clerical and administrative duties.
  • A good understanding of accounting and figures.
  • Experienced in Word, Excel and Power Point.
