Job summary

A dental care provider in Singapore is seeking an Office Assistant to manage front desk operations and assist with patient interactions. You will be responsible for greeting visitors, handling queries and scheduling appointments, as well as maintaining office supplies and performing administrative tasks. The ideal candidate will possess strong organizational skills, exceptional communication abilities, and a customer-focused attitude. Training on dental procedures will be provided if necessary.

Responsibilities

  • Greeting all visitors
  • Knowledge of dental clinic procedures and notations.
  • Exceptional telephone etiquette
  • Proficient in using computers and in Word / Excel applications.
  • Handling queries and complaints via phone, email and general correspondence
  • Scheduling of appointments
  • Attending and actively participating in all Scheduled Clinic Meetings and Huddles.
  • Send out appointment reminders and handle patients' SMS / Message replies.
  • Managing office supplies such as dental products, stationery, equipment and furniture
  • Performing ad-hoc administration duties
  • Maintaining office services as required
  • Receiving and dispatching deliveries when needed
  • Assisting with mail as required
  • Taking messages to the appropriate staff member on time
  • Submission of dental claims via CHAS, Medisave and Dental Insurance portals.

  • Exceptional telephone etiquette
  • Proficient in using computers and in Word / Excel applications.
  • Handling queries and complaints via phone, email and general correspondence
  • Scheduling of appointments
  • Attending and actively participating in all Scheduled Clinic Meetings and Huddles.
  • Send out appointment reminders and handle patients' SMS / Message replies in a timely manner
  • Managing office supplies such as dental products, stationery, equipment and furniture
  • Performing ad-hoc administration duties
  • Maintaining office services as required (such as cleaners and maintenance companies)
  • Receiving and dispatching deliveries when needed
  • Assisting with mail as required
  • Taking and ensuring messages are passed to the appropriate staff member on a timely basis
  • Submission of dental claims vis CHAS, Medisave and Dental Insurance portals.
