Job description
Front Desk Responsibilities
  • Provide courteous and professional frontline customer service for the counselling centre.
  • Manage appointments, including scheduling, sending reminders, and ensuring room bookings are accurate.
  • Serve as the primary point of contact for clients and therapists, addressing inquiries and concerns promptly and professionally.
  • Provide clients with information about services, pricing, and policies.
  • Ensure the room is prepared before each session, including refreshments, and maintain the cleanliness and neatness of the centre.
  • Collect payments and send the necessary information to the Finance Department, including the issuance and sending of invoices/receipts to clients.
  • Update the tracker for grants regularly.
  • Uphold confidentiality of both client and therapist information.
  • Perform any other ad-hoc duties as assigned.
Administrative Responsibilities
  • Maintain and upkeep the office space, ensuring everything is in order.
  • Handle email and phone inquiries, forwarding them to the relevant person in charge.
  • Support the HR Manager in organising HR events and managing staff welfare initiatives for the organisation.
  • Oversee procurement of office supplies and items.
  • Assist with and participate in event preparation.
  • Perform any other ad-hoc duties as assigned.
Requirements and skills
  • Proven work experience as a receptionist, front office representative or similar role Customer service of at least 2 years , Previous experience in a similar role, particularly in a counselling, clinic or mental health setting.
  • Proficiency in Microsoft Office
  • Professional attitude and appearance
  • Good verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent customer service skills
  • Proficiency in Mandarin to effectively communicate with Mandarin-speaking clients.
  • An Executive-level position may be offered to candidates with more experience who can take on roles in finance administration.
