A leading Japanese online grocery store in Singapore is seeking a Finance & Operations Executive to manage accounting and operations. The ideal candidate should have at least 2 years of eCommerce experience and be skilled in Xero, Opencart, and Shopify. This role combines finance management with operational support, working closely with the founding team. Candidates should also be detail-oriented and have a keen interest in Japanese culture and food.

Qualifications

  • Fresh graduates welcomed; minimum 2 years experience in eCommerce preferred.
  • Experience using Opencart, Shopify, and Xero preferred.
  • Fluent in spoken and written English.

Responsibilities

  • Use Xero for daily accounting matters.

Our team is looking for a Finance & Operations Executive to work together with the founding team. This is a key role that will anchor and lead Zairyo’s Operations team.

Job Description:

The Finance Administrative role (main role) includes:

  • Using Xero, our main cloud accounting software for daily accounting matters
  • Ensuring bills are paid on time and correct prices for products that are procured through purchasing channels
  • Managing catalogues and prices of products to ensure we get quality products at a fair value
  • Reconciliation of statements lines
  • Communicating with operations department on stock purchases arrangements
  • Raising purchase orders for all the necessary stock purchases (domestic & international)
  • Managing customer payments (B2B & B2C), refunds, and bills
  • Preparing payment to Suppliers
  • Tallying bills and invoices
  • Managing external payroll for outsourced labour
  • Relaying refund requests and following through with customers on payment/refund updates
  • Replying to B2B customers’ requests and queries on quotations and other product- or order-specific queries

The Operation Administrative role (supporting role) includes:

  • Planning and managing delivery routes for the delivery team before assigning them
  • Managing communication and coordination with operations and logistics team on delivery queries and issues between customers & delivery team
  • Giving prompt, concise, and effective response to general and order-specific queries via emails, calls and texts from customers (B2C, B2B)
  • Contacting customers on substitute or out of stock items and delivery matters
  • Using Opencart & Shopify, our main eCommerce platforms to manage stock Inventory & update incoming inventory

Other responsibilities include ad-hoc tasks as assigned.

Job Requirements
  • Fresh graduates are welcomed, but a minimum of 2 years’ experience in the eCommerce industry is preferred
  • Experience in using Opencart, Shopify and Xero is preferred
  • Fluent in spoken and written English
  • Excellent communication and interpersonal skills
  • Keen and knowledgeable in Japanese culture, food and cooking
  • Able to work independently
  • Detail-oriented
  • Able to work a 5.5 days work week
