About Zero Waste SG

Zero Waste SG (ZWSG) is an Institution of Public Character and Non-Governmental Organisation leading the drive towards zero waste in Singapore through education and advocacy. We focus on engaging consumers and corporates on the 3Rs (Reduce, Reuse and Recycle) in areas of food waste, plastic disposables, household recycling and organisational waste.

We expose people to waste issues and inspire them to make everyday choices towards zero waste. We also aid Singapore and corporations in accelerating the shift towards zero waste and the shift to the circular economy. We partner with governmental agencies, the media, corporates and other NGOs on nation-wide campaigns such as the 'Bring Your Own' campaign, which aims to educate and encourage Singaporeans on the reuse culture, and to decrease the use of single-use disposables in Singapore. ZWSG’s latest campaign ‘Sort it Out’ advocates for waste segregation at source to increase our recycling rates. ZWSG also gives talks, workshops and consultancies at corporate venues and schools.

About this role

Finance and Admin Manager (Contract)

ZWSG is seeking a dynamic and self-motivated individual to join our finance and administrative arm, driving the backbone functions of the charity as we move our nation closer to circularity and zero waste.

The Finance and Administrative Manager is responsible for 3 key functions: 1. Finance, 2. Administration and 3. Compliance, as part of the support provided to the executive team. The role involves overseeing financial compliance, cash flow management, budgeting, payroll, taxation, grant financial reporting and administration functions.

Roles and Responsibilities:
Financial Management:
  • Managing accounting, bookkeeping, and banking functions.
  • Developing and maintaining effective accounting and bookkeeping systems (eg. Claims)
  • Record keeping of all finance related information and documents.
Administrative Operations:
  • Managing administrative functions, including record-keeping, database entries, office operations, and general administration (eg. admin mail monitoring)
  • Oversee payroll procedures
  • Monitor, manage and forecast cash flow together with the Executive Director, to ensure financial stability.
  • Prepare accurate and timely monthly, quarterly, and annual financial statements and reports for internal and external stakeholders.
  • Oversee and track the management of grant funds
  • Track donor contributions and restricted funds, ensuring adherence to donor intentions and reporting requirements.
  • Support the Executive Director and Board by providing financial analysis for key decisions and strategic planning.
  • Support the Executive Director in implementing and enforcing administrative policies and procedures.
  • Ensuring efficient and effective day-to-day operational activities.
  • Managing internal processes (eg. Recurring payments, charity compliance processes)
  • Charity Governance related administration (eg. Minute documentation, TOR creation)
Requirements
  • Strong financial management and accounting skills.
  • Experience with budgeting, financial reporting, and compliance.
  • Experience with administrative operations and record-keeping.
  • Ensuring compliance with donor and grant regulations, internal policies (eg. Onboarding of new staff), the Charities Accounting Standards and other applicable regulatory frameworks.
  • Passionate and interested in environmental sustainability issues and a self-starter who keeps up with current developments in this area
  • Based in Singapore (work from home unless you are involved in an in-person event)
  • Ability to work independently and in a team, as well as toggle between both
  • Strong understanding of Charities Accounting Standards, fund accounting, and grant management practices.
  • Strong analytical and problem-solving skills, with the ability to interpret financial data.
  • Proactive, resourceful, and results-oriented, with a strong commitment to organisational integrity and good governance.
  • Excellent interpersonal, communication, and stakeholder engagement skills.
  • High proficiency in Microsoft Office applications (Word, Excel, PowerPoint); experience with accounting and non-profit CRM systems and digital finance tools is an advantage.
Qualifications:
  • A recognised degree in Accountancy, Finance, or related discipline.
  • Minimum of 3 years’ relevant experience in a similar capacity, preferably within the non-profit or public service sectors.
