Job summary

Qualifications

  • Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline; ACCA/CPA advantageous.
  • At least 2 to 3 years of relevant experience handling a full set of accounts.
  • Experience in accounting, payroll, and admin duties.

Responsibilities

Job description

Finance & Admin Senior/Executive (Part-time)

The Finance & Admin Senior/Executive is responsible for the organization’s full set of accounts, payroll and daily office administration.

You will be responsible to ensure accurate financial records, payroll and statutory matters are processed on time, the organization’s day-to-day administrative activities are managed efficiently, accounting functions of financial reporting, bank reconciliations, grant applications and transaction processing are prepared on time, and in compliance under the direction of senior management.

You will provide administrative support to the Executive Director and staff, including managing correspondence, maintaining records, and assisting with procurement and meetings. This role also helps with fund-raising projects, oversees office inventory, and supports event coordination.

Key Responsibilities:
Finance & Accounting
  1. 1.Handle the organization’s full set of accounts and process transactions accurately and in a timely manner.
  2. 2.Prepare payment vouchers and process supplier payments.
  3. 3.Record accounting transactions in MYOB.
  4. 4.To implement transition into cloud-based accounting software XERO/QuickBooks/etc).
  5. 5.Perform bank transactions
  6. 6.Perform monthly bank reconciliation and investigate discrepancies.
  7. 7.Prepare month-end closing activities and reports.
  8. 8.Maintain proper filing and organization of accounting records and supporting documents.
  9. 9.Process donations, prepare tax exempt receipts and official receipts.
  10. 10.Assist to prepare grant applications, and draft report submissions.
  11. 11.Ensure timely and accurate year-end closing of accounts.
  12. 12.Prepare supporting documents and schedules for audits and statutory submissions.
  13. 13.Support and assist with budgeting, reporting and other general finance-related tasks as assigned.
Payroll and Administration
  1. 1.Prepare andprocess monthly payroll, staff claims and reimbursement requests
  2. 2.Maintain accurate employee payroll, leave, and personal records
  3. 3.Process CPF contributions and other applicable statutory payments and submissions.
  4. 4.Prepare basic employment documents, letters, and employee-related administrative records
  5. 5.Maintain records of employees’ annual leave and medical leave records
  6. 6.Manage and monitor rental, utilities, maintenance and renewal dates.
  7. 7.Track renewal and expiry dates of contracts, licenses, insurance policies, subscriptions and service agreements.
  8. 8.Maintain a proper filing system for correspondence and other documents.
  9. 9.Assist with product & service procurement process (e.g., call for, and summarise, quotations)
  10. 10.Assist with fund-raising projects.
  11. 11.Oversee the inventory & maintenance of office equipment.
  12. 12.Attend and assist SO Singapore activities/ events and other public awareness projects or events (some events may fall outside office hours or on public holidays).
  13. 13.Attend meetings, record and prepare minutes should the Executive Director be unable to attend or when assigned as the Secretariat to special projects e.g. Board meetings, Annual General Meeting, Fund- Raising Meetings, etc
  14. 14.Provide administration support to the Executive Director and Staff.
  15. 15.Assist with any other task that may be assigned by the Board, Management Committee, Board and Executive Director
Job Requirements
  1. 1.Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline, additional qualification such as ACCA/CPA will be advantageous.
  2. 2.At least2 to3 years of relevant experience handling a full set of accounts.
  3. 3.Experience managing accounting responsibilities and daily office admin
  4. 4.Practical knowledge of Accounts Payable, Accounts Receivable, reconciliations, month-end closing, payroll, and GST reporting.
  5. 5.Knowledge in MYOB, with Proficiency in Xero / QuickBooks accounting software advantageous.
  6. 6.Strong working knowledge of Microsoft Office, particularly Microsoft Excel and Microsoft Word.
  7. 7.Meticulous, organized, responsible, and attentive to detail.
  8. 8.Able to prioritize accounting deadlines while handling daily administrative duties.
  9. 9.Able to work independently and support ad-hoc operational duties when required.
  10. 10.Comfortable performing a broad, hands-on role in a national sports association.
  11. 11.Possess integrity and maintain strict confidentiality when handling financial and employee information.
