Job description
Client-Facing Services & Operations
  • Greet, screen, and register clients into the clinical management system.
  • Manage the full appointment lifecycle, including scheduling, confirming, and rescheduling sessions across multiple counsellors.
  • Handle phone calls, emails, and all client enquiries with professionalism, empathy, and responsiveness.
  • Address client concerns and feedback promptly to ensure a supportive experience.
  • Verify billing information, process payments, and complete daily financial reconciliation and reporting.
Administrative Support
  • Handle all confidential records, case notes, and corporate documents with strict discretion.
  • Perform data entry, maintain organised digital filing systems, and oversee office supply inventory.
  • Provide administrative assistance to the Clinic Manager and Head of Corporate Services, including report preparation, correspondence, and general operational support.
Operational Maintenance & Compliance
  • Ensure the reception, waiting area, and consultation rooms remain clean, tidy, and professionally presented at all times.
  • Monitor office equipment functionality and coordinate servicing when required.
  • Track client session attendance, follow-up actions, and confirm timely communication and documentation.
Work Schedule & Shift Arrangements
  • Monday and Friday: 9am to 6pm
  • Tuesday to Thursday: 12pm to 9pm
  • Saturday: 9am to 1pm.
  • Shift patterns will be arranged according to centre needs.
Requirements
  • Diploma in Business Administration, Healthcare Administration, Psychology, or a related discipline.
  • 1–2 years in a client-facing role, preferably within healthcare, clinic operations, or the nonprofit sector.
  • Experience handling sensitive and confidential information is highly valued.
