What you'll be doing
  • Collaborate with site and facilities management teams to build a strong culture of accountability and performance.

  • Assist in managing civil and building system contracts, including:

    • Pre-signing responsibilities such as scoping and compliance.

    • Post-signing duties such as service level monitoring, escalation of contract errors, non-compliance handling, and dispute resolution.

  • Ensure team members are aware of their responsibilities for maintaining service quality.

  • Support investigations into system breakdowns, inspections, and audits.

  • Supervise specialist vendors and maintenance agents to ensure key performance indicators (KPIs) are met.

  • Oversee and monitor specialist vendors’ performance for awarded contracts (e.g. irrigation, water systems, boiler systems).

  • Ensure compliance with all relevant procurement and contract management policies.

  • Provide subject matter expertise and guidance on contract-related matters to project teams.

  • Maintain complete and accurate records of all contract documents, agreements, and checklists.

  • Ensure documentation supports full audit compliance and risk mitigation.

  • Respond to requests from authorities and provide relevant documentation promptly.

  • Develop and harmonize trade-related Standard Operating Procedures (SOPs) and work instructions according to industry best practices.

  • Regularly review and update policies to ensure operational relevance and effectiveness.

  • Safeguard against legal and compliance risks through robust documentation and alignment.

  • Collaborate with the facilities management team to monitor vendor performance and ensure KPIs are achieved.

  • Verify monthly performance reports and invoices before approval.

  • Ensure timely resolution of system faults and equipment breakdowns.

  • Conduct monthly analysis of building system performance and propose improvement plans.

  • Perform audits to assess vendor adherence to preventive maintenance schedules and service quality.

  • Work with relevant departments (legal, finance, procurement) to ensure compliance with contract and payment policies.

  • Learn from previous audit findings to strengthen vendor management practices.

  • Support infrastructure projects, including system commissioning, design review, and integration.

  • Plan and oversee system upgrades or replacements before end-of-life.

  • Participate in internal and external audits.

  • Lead investigations into system failures to identify root causes and implement corrective actions.

  • Maintain comprehensive documentation and records of all activities.

  • Develop and train building trade team members to strengthen operational capabilities.

  • Participate in knowledge-sharing sessions and improvement programs.

What we're looking for
  • Degree in Engineering, Facilities Management, or related field.

  • Minimum 3 years of relevant experience in managing civil and building services, facilities operations, and improvement projects.

  • Certificate in Fire Safety Management or relevant experience will be an advantage.
