Job description
Facilities Coordinator | 2-2.5 Months - Up to 3K

Oversee the day‑to‑day delivery of soft services, including cleaning, landscaping, pest control, mailroom and office supplies.

Conduct regular site inspections to ensure service quality, cleanliness, and compliance with safety standards.

Monitor vendor performance to ensure adherence to agreed KPIs and SLAs.

Coordinate routine and ad‑hoc deep cleaning, pest control, and space refresh activities.

Support event setups, office moves, and workplace readiness checks.

Vendor and Contract Management

Liaise with vendors to schedule services, track performance, and resolve operational issues promptly.

Review vendor documentation (e.g., service reports, risk assessments, and incident logs).

Support the Facilities Manager in procurement activities, including quotation reviews and cost comparisons.

Ensure all vendors follow site safety and access protocols.

Health, Safety, and Environment (HSSE)

Promote compliance with workplace health and safety standards.

Conduct toolbox talks and support HSSE audits.

Report and follow up on near misses, incidents, and non‑compliance cases.

Support sustainability and waste‑reduction initiatives.

Customer and Stakeholder Engagement

Serve as the first point of contact for employees on soft service‑related queries or issues.

Communicate service updates, maintenance schedules, and space readiness effectively.

Work closely with cross‑functional teams (e.g., Culinary, Security, EHS, WPD) to ensure smooth daily operations.

Administration and Reporting

Maintain accurate records of daily operations, vendor attendance, and service reports.

Assist in budget tracking, invoice verification, and cost allocation for soft services.

Prepare periodic performance summaries and operational reports for management review.
