ROLE TYPE: Permanent role

ROLE POSITIONING AND OBJECTIVES

The Executive Assistant will provide comprehensive administrative and executive support to the Head of Function, acting as the primary point of contact for internal and external stakeholders on all matters related to day‑to‑day operations.

This role will support the Head of Function (up to 3) and the broader functional team, working closely with cross‑functional stakeholders to ensure smooth responsibility execution.

KEY ACCOUNTABILITIES INCLUDES:

• Manage the Regional Head of Function’s meetings, calendar, and scheduling.
• Coordinate travel arrangements for the Head of Function and functional managers.
• Oversee the functional budget, corporate card, and documentation, ensuring compliance with global and local policies.
• Assist with inquiries from government offices, focusing on local regulatory matters.
• Collaborate with other Executive Assistants across regional and area offices on key function‑related initiatives.
• Provide support for vendor and agency management, including couriers and service providers.
• Handle vendor and agency payments as necessary.
• Organize events, team outings, and manage office renovations or relocations as required.
• Maintain accurate and up‑to‑date system records for the function.
• Assist with ad‑hoc tasks and projects as needed.

QUALIFICATIONS AND ESSENTIAL ATTRIBUTES:

• Bachelor’s degree, preferably in Business Management.
• 5-7 years of experience as an Executive Assistant or Functional Administrator in a multinational organization.
• Experience working in a diverse, multinational environment with senior management.
• Proficiency in digital platforms, including MS Office suite (Outlook, Teams, Excel, Word, .
• Strong organizational and communication skills, with a high level of discretion and the ability to manage multiple tasks in a fast‑paced environment.
