JOB DESCRIPTION
  • Manage Complex Calendars and Schedules: Efficiently organize and prioritize the executive's time, including scheduling meetings, appointments, and resolving conflicts
  • Coordinate Travel and Logistics: Plan and manage all business travel arrangements (flights, accommodation, ground transport, itineraries) and associated expense reporting
  • Manage Communication: Serve as the primary liaison between the executive and internal/external stakeholders, screening and responding to communications (emails, calls) on their behalf when appropriate
  • Prepare Documents and Reports: Draft, edit, and proofread correspondence, presentations, and reports, ensuring accuracy and professionalism
  • Oversee Meetings and Events: Coordinate all aspects of meetings, from scheduling and preparing agendas/materials to recording minutes and tracking action items
  • Handle Confidential Information: Exercise a high level of discretion and integrity when managing sensitive and confidential data and records
  • Lead and Mentor the Support Team: Manage and develop the executive support team, standardizing expectations and ensuring high performance
  • Manage Special Projects and Initiatives: Take the lead on ad-hoc projects, track progress on strategic initiatives, and ensure successful completion
  • Streamline Office Operations: Review and improve current administrative and operational processes to enhance overall efficiency and productivity
  • Anticipate Needs and Problem-Solve: Proactively foresee executive needs and resolve issues with a problem-solving mindset, ensuring the executive can focus on core leadership responsibilities
