Job summary

A community-focused non-profit organization in Singapore seeks an Administrative Officer to manage secretarial and public relations tasks. Responsibilities include coordinating meetings and fostering relationships with media and the community. The ideal candidate should have 3-5 years in secretarial work and a diploma or degree. Knowledge of Buddhist philosophy is preferred. Flexibility to work during weekends and holidays is required.

Job Overview

The position plays a key role in the organization, responsible for the smooth operation of administrative affairs, as well as for enhancing the organization's public image and external communications. This position requires good organizational and communication skills, as well as the Buddhist spirit of compassion and service.

Main responsibilities

Secretarial work

  • Coordinate board and committee meetings, including agenda preparation and follow-up on meeting minutes.
  • Maintain accurate documents, correspondence and archival systems.
  • Assist SBL President in liaising with internal departments and external organizations.
  • Support SBL President to coordinate meetings and related matters, with external associations and community groups.
  • Ensure timely notification and scheduling for SBL President and board members to attend relevant external meetings, events, and ceremonies. May be required to represent in absence of President or board members.
  • Assist in organizing internal events and related logistical arrangements.
  • Responsible for the management and execution of daily administrative affairs to improve the efficiency of office operations.

Public relations work

  • Support the Secretariat in implementing public relations strategies and promoting the organization's mission and activities.
  • Assist in media outreach, including drafting and reviewing press releases, briefings, speeches, and promotional materials.
  • Build and maintain positive relationships with media outlets, partners, and the public.
  • Assist SBL President in participating in public events and community engagement activities.
  • Perform all other duties assigned by management
Qualifications and Requirements
  • Have a diploma or degree.
  • At least 3 to 5 years of relevant secretariat work experience, with a background in a non-profit, especially in monastics setting is preferred.
  • Proficiency in Microsoft Office and social media tools.
  • Knowledge of Buddhist philosophy and practitioners is preferred.
  • Excellent organizational and interpersonal communication skills.
  • Able to work independently and have a team spirit.
  • Able to work on weekends, flexible to work on public holidays and evenings when the need arises
