Executive, Operations (Data Management and Administration)

We seek to hire an Executive within the University Counselling Services administration team to provide comprehensive front‑desk, administrative and operational support at the University Counselling Centre, ensuring efficient client appointment management, prompt stakeholder communication, accurate data handling and smooth daily operations. The individual will also support ad‑hoc departmental projects or activities as assigned by management. The role is vital in maintaining high service standards and supporting the Centre’s mission to deliver effective counselling and well‑being services to the university community.

Duties & Responsibilities
Front Desk
  • Schedule client appointments and administer walk‑in clients.
  • Manage telephone calls and email enquiries, provide programme and service information.
  • Attend to and respond to queries from internal and external stakeholders.
  • Be rostered as Operations and Administrative support for the new satellite clinic during the following hours: Tuesday & Thursday 08:30 AM – 06:00 PM, Friday 09:30 AM – 05:30 PM (inclusive of an hour meal break).
Data / System Related
  • Extract and tabulate data regularly for reporting, trending, decision‑making and process review.
  • Assist in data analysis and understand system functionality, troubleshooting system‑related issues.
  • Identify trends and issues from data sources and propose opportunities for improvement.
  • Support work‑process improvement and feedback collation.
Administrative
  • Provide support in planning, logistics, coordination and execution of department events and initiatives.
  • Support the full spectrum of administrative functions, including procurement, invoicing, office management and meeting/programme coordination.
  • Perform ad‑hoc departmental projects or activities as assigned by management.
Qualifications
  • Bachelor’s degree in Business Administration, Operations Management, Hospitality, Data Science or a related field.
  • Minimum three years of relevant work experience.
  • Proficient in Microsoft Office, Outlook and Teams.
  • Good knowledge of front‑end and data visualisation tools for analytics applications (dashboards, reports) with experience in Advanced Microsoft Excel, Microsoft Power BI, Qualtrics or similar platforms.
  • Strong analytical, synthesis and communication skills (written and oral); ability to negotiate and influence internally and externally.
  • Fast learner who can quickly ramp up on new domains, operate independently or in a team with minimal prompting.
