Executive, Operations

About the Role

We are looking for a proactive and detail-oriented Executive, Operations – Buy Back & Trade-In to join our growing team. This role plays a key part in ensuring smooth daily operations, accurate order processing, and excellent customer support. You will work closely with our logistics partners, internal teams, and customers to ensure efficient coordination and service delivery.

Key Responsibilities

Operations & Administration (80%)

  • Support daily business operations and administrative tasks.
  • Manage order processing including preparing invoices, purchase orders (PO), and delivery orders (DO).
  • Oversee operations and administrative matters such as invoicing, payment tracking, logistics, inventory, and general office administration.
  • Maintain proper filing systems, compile and organize documentation, and ensure administrative records are up to date.
  • Verify incoming and outgoing stock to ensure accuracy and smooth daily operations.
  • Coordinate with CompAsia entities and third-party logistics (3PL) providers to ensure timely updates, data accuracy, and resolution of logistics issues.
  • Monitor logistics reports and recommend improvements to enhance accuracy and operational efficiency.
  • Perform other duties or special projects as assigned.

Customer Service (20%)

  • Respond to customer enquiries via phone, email, messages, and social media.
  • Provide professional and helpful assistance regarding products and services.
  • Identify customer needs, propose effective solutions, and follow up to ensure issues are resolved promptly.
  • Gather and compile customer feedback to improve processes and service delivery.
  • Maintain accurate records of customer interactions and ensure prompt updates in the system.
  • Escalate complex or priority issues to relevant departments when necessary.
  • Conduct follow-up calls to ensure customer satisfaction and smooth case closure.
  • Share feedback on common or recurring issues to support continuous improvement.
Requirements
  • Excellent command of written and spoken English.
  • Diploma or equivalent qualification in Business Administration, Operations, or related fields preferred.
  • At least 1–2 years of relevant experience in administrative, operations, or support roles.
  • Strong organizational, analytical, and communication skills.
  • Proficient in Microsoft Excel, particularly Pivot Tables, VLOOKUP, and related formulas.
  • Fast learner, systematic, and able to work independently with minimal supervision.
  • Positive attitude and a strong sense of responsibility in managing day-to-day tasks.
