Purpose of Job
To provide administrative support for the effective delivery of clinical and counselling services and programmes.
Key Responsibility Areas
- Manage and respond to public and client enquiries related to clinical and counselling services and programmes, at the front desk, via email, and over the phone.
- Attend to clients at the Centre and assist them with the completion of required forms.
- Coordinate and update the scheduling of counselling sessions, including the booking of counselling rooms for staff and clients.
- Update and maintain counselling case data accurately and securely.
- Prepare and submit programme KPIs accurately and on time to external agencies.
- Manage the safe-keeping, storage, and retrieval of counselling case files.
- Assist in the procurement, requisition, and purchase of items required for clinical and counselling services and programmes.
- Handle IT-related matters pertaining to clinical and counselling operations.
- Manage financial and payment processes related to counselling, training, and programme services.
- Issue official receipts and ensure proper documentation of payments received.
- Work with the Finance Department to ensure proper handover and reconciliation of all payments.
- Undertake any other duties as assigned by the Clinical Lead.
Requirements
- Bachelor’s degree in a relevant field.
- 3–5 years of relevant work experience in within social service agencies or IPC charities.
- Excellent organisational and planning abilities.
- Strong problem‑solving, critical thinking, and decision‑making skills.
- Passionate about stakeholder engagement with strong interpersonal skills.
- Able to work both independently and collaboratively in a team environment.
- Proficient in Microsoft Office applications, especially Excel (VLOOKUP and Pivot Tables).
