Job description
Key Role:

Responsible to ensure daily upkeep, safety, and operations of the Temple’s buildings, facilities, and systems. To coordinate maintenance, facility bookings, and compliance-related in areas of regular service and maintenance of Temple’s equipment and facilities. The role also supports Temple operations by being the main liaison person with service contractors, oversee space usage for events, assist devotees with ancestral services, and managing prayer-related logistics.

Key Responsibilities:
A. Building and Facilities Maintenance
  • Oversee and maintain building infrastructure (e.g. walls, roofing, plumbing), including M&E systems (e.g. lift, CCTV, air-conditioning), so as to ensure a conducive, and safe environment for all users.
  • Coordinate with contractors and service providers for installation, repair, and maintenance works.
  • Manage comparison of quotes, prepare admin documentation for approval, and facilitate payment process etc, for related service and maintenance works in accordance with the Temple’s internal financial procedures.
  • Ensure all service reports and maintenance records are up to date, documented in compliance to respectively regulatory government bodies requirements and filed (both in physical and digital copies).
B. Facilities Booking
  • Manage online and offline booking requests from both internal (the Management Committee) and external parties for the use of Temple facilities.
  • Guide first-time users through the site recce process to ensure suitability of space prior to confirmation for booking of the Temple’s space for relevant events, subject to further approval if need.
  • Maintain the booking schedule to prevent conflicts and ensure smooth coordination of space usage for all interested parties.
  • Provide recommended donation amounts to prospect users and facilitate agreement based on the donation model for usage of Temple’s premises and facilities.
  • Communicate logistical arrangements with users and advise them on storage locations and available on-site resources for respective bookings for the usage of the Temple’s premises and facilities.
C. Logistical Support for Internal Events
  • Provide logistical support for internal Temple events, including both ritual (e.g., prayer services) and non-ritual (e.g., talks, classes) activities.
  • Liaise with relevant personnel (e.g., monks, guest speakers, facilitators) to confirm event setup preferences, operational needs, and event flow.
  • Assist in preparation of the event space, including setup of offerings, seating, tables, refreshments, audio-visual equipment, and other necessary materials.
  • Ensure that environmental conditions (e.g., air-conditioning, lighting) are appropriately managed during events.
  • Ensure venue cleanliness, functionality, and readiness before and after each event in collaboration with the Temple Assistant/Helper.
  • Coordinate with internal staff and volunteers on event-day tasks for logistical support such as preparation, ushering, and clean‑up.
D. Temple Operations
  • Provide support for daily Temple operations, such as manage public enquiries and assist with registration counter duties.
  • Hall of Gratitude: Provide assistance for prayer services, devotee enquiries, ancestor tablet arrangements, contractor coordination, and logistics on prayer days.
Requirements:
  • Diploma holder, preferably in Facilities Management or a related field with at least 3 years of related experience.
  • Proficiency in both written and spoken English and Mandarin.
  • Basic knowledge in contract, service and maintenance administration matters, related government/authority requirements in areas of building maintenance and Workplace Safety & Health Acts.
