  • Coordinate travel arrangements including visas and itineraries.
  • Handle personal errands and household coordination.
  • Assist with confidential correspondence.
  • Oversee office property management and vendor coordination.
  • Track company assets and prepare reports.
  • Support office renovation or expansion projects.
  • Monitor administrative budgets and compliance.

Job description

Monday to Friday: 9:00 a.m. – 6:00 p.m.

Work location: Tanjong Pagar (walking distance from the MRT)

Key Responsibilities
  • Manage front office operations including reception, correspondence, and visitor coordination.

  • Oversee vendor and procurement matters such as office supplies, service contracts, and facility maintenance.

  • Support HR-related tasks including onboarding, training coordination, and employee engagement activities.

  • Maintain smooth IT and system operations by liaising with vendors.

  • Manage the Director’s calendar, schedule, and communications with utmost discretion.

  • Coordinate domestic and overseas travel arrangements including visas, hotels, and itineraries.

  • Handle personal errands and household-related coordination when required.

  • Assist with confidential correspondence and follow-up actions.

  • Accompany the Director for meetings or trips when necessary.

  • Oversee office property management, lease agreements, and vendor coordination for maintenance and security.

  • Track company assets and prepare related reports for management review.

  • Support office renovation or expansion projects, ensuring cost control and timely completion.

  • Monitor administrative budgets and ensure compliance with safety and facility standards.

Requirements
  • Diploma or higher qualification with at least 3 years of relevant experience in administration or executive support.

  • Proficient in Microsoft Office and comfortable with fast-paced, multi-faceted responsibilities.

  • Willingness to travel and work flexible hours when required.
