Job Title: Executive Assistant  Location: CBD  Reports To: Chief Executive Officer (CEO)

Job Summary:

Our client is seeking a dynamic and highly organized Executive Assistant to support the CEO. This role serves as a key liaison between the CEO and internal/external stakeholders, ensuring seamless communication, efficient scheduling, and the successful execution of strategic initiatives. The ideal candidate is detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities:
  • Manage the CEO’s calendar, including scheduling of meetings, appointments, and travel.
  • Act as a gatekeeper—handling correspondence, inquiries, and information flow with discretion.
  • Track progress and deliverables for strategic projects led by the CEO.
  • Coordinate and lead special projects, providing research and analysis as needed.
  • Ensure interdepartmental collaboration and alignment with CEO’s priorities.
  • Organize and attend meetings; take accurate minutes and follow up on action items.
  • Represent the CEO in meetings or events when required.
  • Prepare agendas, documentation, and ensure the CEO is fully briefed.
  • Plan and execute internal and external events in support of the CEO’s objectives.
  • Manage complex travel arrangements, including flights, accommodations, and ground transport.
  • Handle logistical support for meetings, events, and speaking engagements.
  • Draft and review professional correspondence, emails, and presentations.
  • Identify and implement process improvements to increase the efficiency of the CEO’s office.
  • Develop systems to track key metrics and ensure timely reporting.
  • Handle all information with the highest level of confidentiality and professionalism.
Requirement:
  • Proven experience as an Executive Assistant, Chief of Staff, or similar role.
  • High level of discretion and professional integrity.
  • Proficient in Microsoft Office Suite and relevant productivity tools.
  • Strong project management experience.
  • Familiarity with strategic planning and business operations
