Position Overview

The Executive Assistant provides high-level administrative support to the CEO, serving as the primary point of contact between the CEO’s office and internal departments, the Board of Directors, and external stakeholders. This role requires exceptional organizational, communication, and interpersonal skills, as well as the ability to handle confidential information with discretion and professionalism.

Qualifications and Experience
  • Education: Bachelor’s Degree required.
  • Experience: 5–10 years of experience providing executive-level support to C-suite leadership.
  • Technical Skills:
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media/web platforms.
  • Industry Exposure: Experience or strong interest in communications, partnership development, technology, and financial markets.
  • Availability: Willingness to work extended hours (3–4 days a week) to accommodate time zone differences for US, EU, and ISR operations.
Key Responsibilities
Executive Support
  • Act as a communication bridge between the CEO’s office and internal departments, maintaining credibility, trust, and support with senior management.
  • Work closely with the CEO to keep them informed of upcoming commitments, responsibilities, and follow-ups.
  • Serve as a “barometer” for internal and external issues, ensuring the CEO remains updated on key developments.
  • Lead and coordinate special projects with organizational impact.
  • Prepare critical deliverables such as acknowledgment letters, personal correspondence, and reports to facilitate effective leadership.
  • Manage and prioritize conflicting needs, ensuring timely and proactive completion of projects under deadline pressures.
Board Support and Liaison
  • Serve as the CEO’s administrative liaison to the Clients Board of Directors.
  • Assist board members with logistics, including travel arrangements, lodging, and meal planning.
  • Maintain discretion and confidentiality in all board-related matters.
  • Ensure compliance with bylaws and regulations, including the timely distribution of board materials in electronic and/or printed formats.
Senior Management Liaison
  • Participate as an adjunct member of the Executive Team, assisting in meeting scheduling and coordination.
  • Coordinate agendas and logistics for senior management meetings, off‑sites, and staff meetings.
  • Facilitate cross‑divisional coordination of travel, including booking flights, hotels, and managing logistics such as transport and deliveries.
Communications, Partnerships, and Stakeholder Relations
  • Ensure the CEO’s biography and organizational information are kept current and accurate.
  • Draft and edit written communications and correspondence for external stakeholders.
  • Support partnership development and stakeholder engagement initiatives.
