We’re looking for a highly organized, proactive, and experienced Executive Assistant/ Secretary to support our leaders and help drive impact behind the scenes. If you thrive on keeping things running smoothly, and love turning plans into action — we’d love to hear from you!

No relocation assistance is offered for this position.

Core Responsibilities

This role is to assist the GMs of BU SMTR, IEA and Head of APAC Regional Customer Development (RCD) to ensure the smooth management of daily matters such as but not limited to:

  • Calendar and travel management, expense reimbursement
  • Manage the coordination and logistical support for team events such as offsite or in house team meetings or team building activities, business meetings
  • Plan and project manage any related conferences including identifying, coordinating and assembling requirements and deliver the event as planned.
  • Maintain the teams’ SharePoint site and organizational charts
  • Responsible for the yearly calendar for the GMs and Leadership Team (Townhalls, regular meetings, seminars, workshops, collaboration meetings, annual APAC conference)
  • Any other tasks as reasonably assigned

This role plays an important role in supporting and assisting the leaders and teams in APAC MG particularly, BU SMTR, IEA and APAC RCD.

The role is pivotal in maintaining the administrative order and helping to execute key events to drive success and engagement at the regional and team level.

Do you have what it takes?
  • Solid experience in administrative role, supporting corporate executives and teams in conference/ events management
  • Experience in matrix MNCs or supporting multiple teams' environment would be ideal.
  • Proficient in Excel, Word, Powerpoint
  • Strong verbal and written communication skills
  • Strong sense of ownership and self motivation
  • Organised and methodical approach to tasks with high attention to detail.
  • Demonstrated drive for consistent follow through and high quality work.
  • Ability to work independently yet collaborate with others when needed to deliver joint outcomes
