Executive Assistant (Investment Firm) - up to $10,000/mth #v

Manage complex calendars, meetings, and scheduling across multiple time zones.

Prepare meeting materials, presentations, and executive briefings when required.

Coordinate logistics for client meetings, including agendas, minutes, and follow-ups.

Handle confidential correspondence, documentation, and record management.

Track business deliverables, deadlines, and communications.

Liaise with internal teams on operational and project-related matters.

Investor Relations & Communication

Support communication with investors, partners, and clients.

Assist in preparing and editing investor updates, presentations, and event materials.

Maintain CRM or investor databases with accuracy and confidentiality.

Administration & Office Management

Manage travel arrangements, accommodations, and expense reporting.

Oversee office logistics, vendors, and supplies.

Coordinate internal events, team activities, and external engagements.

Personal Assistance

Support personal scheduling, travel, and family-related arrangements.

Handle household administration, personal errands, and finance-related coordination.

Liaise with service providers, family offices, and personal contacts while maintaining strict confidentiality.

Requirements

Bachelor’s degree in Business, Finance, Communications, or related field preferred.

5+ years’ experience supporting C-suite executives, ideally in financial services or investment-related environments.

Strong understanding of financial terminology and investor-focused workflows.

Highly organized, detail-oriented, and able to manage multiple priorities independently.

Strong communication skills with a polished, professional presence.

Tech-savvy, proficient in MS Office, Google Workspace, and CRM or workflow tools.

Discreet, reliable, and able to anticipate needs in a fast-moving environment.
