Executive Assistant to C Suite – Job Description

We are looking for a highly capable and resourceful Executive Assistant to support our senior leadership team. This role is perfect for someone who enjoys owning their work, thrives in a fast paced environment, and wants to play a meaningful part in driving company wide initiatives.

Key Responsibilities
Calendar and Schedule Management

Manage the executive’s complex calendar with accuracy and foresight. This includes scheduling meetings, coordinating appointments, and arranging both domestic and international travel.

Communication and Liaison

Act as the primary point of contact for all internal and external stakeholders. Handle communications with discretion, professionalism, and excellent judgment.

Meeting and Document Support

Coordinate meeting logistics and prepare all necessary materials. Take minutes, track follow up items, and ensure timely execution. Draft high quality emails, reports, presentations and other executive level documents.

Travel Arrangements

Plan and manage comprehensive travel itineraries, including flights, accommodation, transportation, and contingency planning where required.

Project Assistance

Support the executive on key projects and strategic initiatives. Conduct research, prepare summaries, and ensure follow ups are completed on time.

Requirements
  • Bachelor’s degree or above.
  • Minimum 4 years of experience as an Executive Assistant or in a similar role supporting C level executives.
  • Excellent verbal and written communication skills in both English and Chinese. The role requires frequent liaison with Mandarin speaking stakeholders in China and Taiwan, so proficiency in spoken and written Mandarin is required.
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organisational and time management abilities, with the capacity to prioritise multiple tasks effectively.
  • High level of professionalism, integrity, and the ability to handle confidential information with discretion.
  • Proactive, resourceful, and strong problem solving abilities.
