A recruitment agency in Singapore is seeking an Executive Assistant to support a Managing Director. The role involves managing schedules, coordinating travel logistics, and ensuring communication excellence. Candidates should have at least 5 years of experience as a Personal Assistant or similar, with a preference for those in the construction industry. A strong ability to manage shifting priorities and communicate effectively is essential.
We’re looking for a sharp, adaptable, and highly organized Executive Assistant to support a Managing Director. This is a pivotal role for someone who thrives on keeping things running seamlessly — managing schedules, anticipating needs, and bringing structure to a dynamic work environment.
You’ll be the right hand to the Managing Director, ensuring everything behind the scenes is coordinated to perfection — from diary management and meetings to business travel and events.
Be the anchor of daily operations: manage the MD’s calendar, schedule internal and external meetings, and ensure all commitments run smoothly.
Own the details: prepare documents, presentations, and agendas with accuracy and professionalism.
Plan and execute seamlessly: organise team meetings, track follow-up actions, and ensure deliverables are met on time.
Handle travel logistics: coordinate business travel — flights, accommodation, and transportation — with efficiency and foresight.
Drive communication excellence: coordinate and prepare materials for meetings and presentations with clarity and precision.
Support events and projects: assist with internal and offsite events, attend offsite meetings, take minutes, and follow through on action items.
Be the trusted partner: manage confidential information and provide ad-hoc personal support when needed.
At least 5 years of experience as a Personal Assistant, Secretary, or Executive Assistant supporting senior management.
Able to manage shifting priorities with composure and confidence.
Applicant who has experience working similar scope in construction industry - advantageous.
Excellent communication skills, both written and verbal, to liaise effectively across all levels.
Adept at planning and managing complex schedules and booking business travel with precision.
Professional discretion when handling sensitive information.
