We are seeking a dynamic and experienced Executive Secretary to provide comprehensive support to the CEO and senior management. This role combines administrative oversight, HR coordination, and executive assistance, requiring someone who is proactive, highly organized confident in managing sensitive business matters.

Responsibilities
  • Oversee day‑to‑day office administration to ensure seamless operations.
  • Manage HR activities, including payroll, leave tracking, and attendance monitoring.
  • Lead end‑to‑end recruitment processes: posting roles, shortlisting, interviews, and onboarding.
  • Maintain accurate employee records in line with local regulations and company policies.
  • Coordinate staff engagement programs, training initiatives, and performance reviews.
  • Work with external vendors, service providers, and government bodies on HR and office‑related matters.
  • Ensure compliance with Singapore employment legislation and organizational policies.
  • Oversee procurement of office supplies and facility needs while managing costs effectively.
  • Manage the CEO’s schedule, including meetings, appointments, and conference arrangements.
  • Organize international and local travel plans, including flights, accommodation, and itineraries.
  • Handle visa applications, renewals, and documentation for CEO business travel.
  • Prepare presentations, reports, and meeting documents for executive use.
  • Screen and prioritize calls, emails, and correspondence, responding when appropriate on behalf of the CEO.
Requirements
  • Diploma or Degree in Business Administration, Human Resources, or related discipline.
  • At least 5 years of proven experience in executive support, HR administration, or office management.
  • Fluency in Mandarin is a must to liaise effectively with stakeholders.
