Description

We are looking for a talented individual to join our team as an Executive Assistant to support a team of leaders. This position requires a tenacious self-starter who can anticipate the needs of the Director and Senior Director, and take initiative to solve problems, independently. In addition to being organized and analytical, you have the strong business judgment and communication skills needed to interact with a variety of people across multiple job functions and levels. You love what you do and have the desire to be a phenomenal teammate on an amazing team.This role is responsible for full Calendar management, preparation and set up of meetings, planning sessions and team events including agenda, logistics, and full preparation for those events. Also includes meetings set up and overall agenda management for the supported leaders. Additionally, the precise execution of expense reports, travel itineraries, vendors management for critical activities, including catering, transportation, space locations when needed are all imperative.

Responsibilities
  • - Manage and maintain conference rooms that are used heavily by the VPs, Senior Directors, Directors and various teams.
  • - Handle daily scheduling in iCal and calendar management for one or more director or senior director, including coordination of complex meetings with multiple executives and locations.
  • - Multi-task and prioritize a wide range of projects in a fast-paced environment, with attention to detail, accuracy and timeliness.
  • - Supports the development of presentations for key meetings and may be required to facilitate at times.
  • - Arrange and coordinate complicated international and domestic travel, accommodations and all trip logistics. Submit and reconcile expense reports.
  • - Plan, coordinate and execute internal events such as off-sites, team building events and organizational wide meetings (comms/all team meetings).
  • - Interact daily with other administrators across Apple both locally and internationally.
Minimum Qualifications
  • High school diploma or equivalent.
  • At least 3 years' experience in the administrative support field.
  • Will be well organized, detail oriented and have strong project management and time-management skills.
  • Ability to identify critical issues quickly and navigate priorities based on last minute changes.
  • Strong written and verbal communication skills.
  • This role will work very closely with Greater China team so fluency in Mandarin is required.
Preferred Qualifications
  • Ability to utilize tact, diplomacy discretion and good judgement at all times, but especially when exposed to sensitive or confidential material.
  • An ability to display a high level of integrity and professionalism in dealing with people at all levels is imperative.
  • Previous experience supporting a business team is a plus.
  • Have the initiative to efficiently meet the demands of the team.
  • Ability to work on assignments of moderate difficultly, requiring judgment in resolving issues or in making recommendations.
  • An upbeat spirit of passion, energy, and enthusiasm; enjoys problem solving creatively in order to complete assignments.
  • Strategic thinking; understand business and industry and sees the “big picture.”
  • Flexibility/adaptability as this position has a large range of tasks and grows with the team’s growth.
  • The ability to work successfully in a team environment and build effective working relationships inside and outside the group is essential.
