Your responsibilities
Calendar and Schedule Management:
- Coordinate and manage Director’s calendar, appointments and meeting schedules.
Travel Arrangements:
- Coordinate travel arrangements for Director and Plant Leadership Team including flights, accommodation and transportation.
- Prepare itineraries for business travel.
General Administrative:
- Assist Director and Plant Leadership Team in special assignments and/or projects related to Tuas including leadership meetings, on-site and off-site events, visit coordination and management.
- Support the HR administrative and coordination matters on onboarding and offboarding employees and employee engagement activities.
- Maintain records of all sites functional, technical, and leadership trainings for employees.
- Assist on vendor payment processes.
Facilities Management:
- Support Engineering Team in facilities management and improvement projects execution (liaising with vendors).
- Create a conducive community experience in the administrative workplace that is both engaging and productive with human-centric experiences.
- Lead 5S implementation across functions within office area.
- Supervise daily operations of 3rd party canteen, office utilities, and transportation services based on contract guidelines.
- Set regular checkpoints with canteen committee to continuously improve services and address any pressing concerns.
- Oversee 3rd party contract services providers to ensure compliance with human rights policy.
The experience we're looking for
- Diploma or degree in Business Administration, Communications, or a related field is often preferred.
- At least 2 years of experience as an Executive Assistant supporting senior leadership.
- Excellent communication, organizational and multitasking abilities in a fast‑paced environment.
- Attention to detail, discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Previous experience in office administration and events coordination is advantageous.
