Your responsibilities

Calendar and Schedule Management:

  • Coordinate and manage Director’s calendar, appointments and meeting schedules.

Travel Arrangements:

  • Coordinate travel arrangements for Director and Plant Leadership Team including flights, accommodation and transportation.
  • Prepare itineraries for business travel.

General Administrative:

  • Assist Director and Plant Leadership Team in special assignments and/or projects related to Tuas including leadership meetings, on-site and off-site events, visit coordination and management.
  • Support the HR administrative and coordination matters on onboarding andoffboarding employees and employee engagement activities.
  • Maintain records of all sites functional, technical, and leadership trainings foretregents.
  • Assist on vendor payment processes.

Facilities Management:

  • Support Engineering Team infacilities management and improvement projects execution (liaising with vendors).
  • Create a conducive community experience in the administrative workplace thatare both engaging and productive with human-centric experiences.
  • Lead 5S implementation across functions in within office area.
  • Supervise daily operations of 3rd party canteen, office utilities, and transportation services based on contract guidelines.
  • Set regular checkpoints with canteen committee to continuously improveservices and address any pressing concerns.
  • Oversee 3rd party contract services providers to ensure compliance to humanrights policy.
The experience we're looking for
  • Diploma or degree in Business Administration, Communications, or a relatedfield is often preferred.
  • At least 2 years of experience as an Executive Assistant supporting seniorleadership.
  • Excellent communication, organizational and multitasking abilities in a fastpacedenvironment.
  • Attention to detail, discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Previous experiences in office administration and events coordination areadvantageous.
