Responsibilities:
- Provide high-level administrative support to the Senior Leader, including managing their calendar, scheduling appointments, and coordinating meetings across multiple time zones.
- Organize travel arrangements, including booking hotels, transportation, and preparing detailed itineraries to maximize the Senior Leader’s time.
- Coordinate and assist with organizing online, hybrid, and in-person events, team meetings, and workshops.
- Prepare meeting materials (presentations, minutes) and ensure timely sharing of agendas and relevant documents with the team.
- Handle department budget and procurement of office supplies while managing purchase orders and invoices.
- Support the preparation of reports, data visualization, and maintaining departmental metrics for senior leadership.
Requirements:
- Minimum 7 years of executive assistant experience, preferably supporting senior management in a head or regional office.
- Strong experience in event planning and managing calendars across multiple time zones.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and familiarity with data visualization tools (e.g., Canva, infographics).
- Highly organized, detail-oriented, and capable of managing multiple tasks under pressure.
- Excellent communication, interpersonal skills, and the ability to work independently and as part of a team.
- Proficiency in English and a high level of confidentiality, with a sense of urgency when required.
