We are seeking a highly motivated, proactive, and exceptionally organized Executive Assistant to serve as the primary operational and strategic partner to a dynamic senior executive. You will provide seamless support across all business ventures, including a leadership role at a leading Real Estate Media Tech company (PLB) and as the Founder of a growing Business Coaching practice (MasteryCollective).
This is not a traditional administrative role. You will be the strategic right-hand and organizational backbone, enabling the executive to operate at maximum efficiency and impact.

You will act as a gatekeeper and gateway, ensuring the executive’s time is spent on the highest-value activities across all enterprises.
What will I be doing?
- Executive Management & Strategic Coordination
- Act as the central point of contact for the executive’s associates, employees, clients, and partners.
- Take full ownership of the executive’s calendar, ensuring strategic time management.
- Filter, prioritize, and manage the executive’s emails and social media DMs.
- Arrange complex domestic and international travel.
- Prepare and submit accurate, timely expense reports.
- High-Level Meeting & Project Support
- Shadow and support the executive in high-level meetings, pitches, and strategy sessions.
- Prepare and organize materials (agendas, presentation decks, pre-read packs).
- Capture detailed minutes and track action items (using AI tools like ChatGPT, Gemini, and manual notes).
- Support operational workflows and project management (Asana, Jira, Trello).
- Oversee ad-hoc projects, research, and system/process improvements.
- Client Onboarding & Business Growth
- Manage the full client lifecycle for the coaching business.
- Act as a key contact point for prospective clients.
- Compile operational reports and dashboards to track business growth.
- Marketing & Event Management
- Manage and execute content calendars for social media, newsletters, and blogs.
- Coordinate with freelancers or agencies (designers, editors).
- Provide end-to-end logistical support for events (conventions, training).
- Assist in promoting events via social media and email campaigns.
What is required of me?
- Experience: 5–7 years in executive support for senior leaders, ideally in tech, media, or startups. Experience supporting entrepreneurs is a plus.
- Mentality: Proactive, “run and gun,” strong ownership, anticipates needs.
- Organizational Skills: Exceptional time management and detail orientation.
- Communication: Impeccable written, verbal, and interpersonal skills.
- Tech Savvy:
- Google Workspace, MS Office, Slack, WhatsApp.
- Presentation tools: Keynote, Google Slides, Canva.
- Project management tools: Asana, Trello.
- Proficient in AI tools (ChatGPT, Gemini).
- Discretion & EQ: Handles confidential information with integrity and professional judgment.
