Position Overview
The Executive Assistant (EA) provides comprehensive administrative and operational support to the CEO, ensuring smooth coordination across FoodInc Group’s business units — Saint Pierre, Shoukouwa, and Mycelium Catering. This role requires a proactive and highly organized professional who can manage complex schedules, handle confidential matters with discretion, and serve as a key point of contact for internal and external stakeholders.
Key Responsibilities
Executive Support
- Manage the CEO’s daily and weekly schedules, including appointments, meetings, conference calls, and travel arrangements.
- Prioritize and coordinate commitments, ensuring efficient use of the CEO’s time.
- Prepare meeting materials, attend meetings, and record accurate minutes and follow-up actions.
- Handle correspondence and communications on behalf of the CEO with professionalism and confidentiality.
Administrative Management
- Oversee general administrative duties such as expense claims, filing, documentation, and record management.
- Maintain confidentiality and safeguard sensitive business and personal information at all times.
- Ensure alignment and compliance with company policies and procedures.
Coordination & Communication
- Act as the primary liaison between the CEO and teams across Saint Pierre, Shoukouwa, and Mycelium Catering.
- Coordinate activities with other departments (e.g. HR, Finance, IT) and external partners to support business operations.
- Communicate effectively on behalf of the CEO, applying sound judgment to determine the most appropriate mode and tone of communication.
Projects & Research
- Support the CEO in handling special or ad-hoc projects, including follow-ups with teams on key initiatives.
- Conduct research, compile information, and prepare reports, presentations, and briefing materials as required.
- Assist in operational and facility management matters in coordination with relevant departments.
Key Qualifications
- Bachelor’s Degree in Business Administration or a related discipline.
- Minimum of 3 - 4 years of experience supporting senior management preferably within hospitality, F&B, or related industries.
- Strong organizational, time management, and multitasking skills with keen attention to detail.
- Self-starter with strong problem-solving abilities and the ability to anticipate needs.
- Exceptional communication and interpersonal skills to interact effectively with stakeholders at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital productivity tools.
