  • Prepare and track expense reports.
  • Order supplies and process invoices.

Job description

The Executive Assistant role provides support to a MNC Bank's Singapore team with the following.

Key Responsibilities
  • Supporting a team of ~50 pax + personalized support for some MDs
  • Coordinates all aspects of executive level manager appointments, meetings, events and conference calls
  • May prepare and review materials and correspondence for meetings
  • Maintains visitor log and coordinates employee onboarding, seat allocation, rearrangement and exit formalities
  • May assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates on travel arrangements; prepare and distribute schedules/agendas for travel
  • Assist COO office in continuity of business planning, recording and monitoring
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Coordinate control related follow-up with assigned department
  • Orders supplies and process invoices through Procure to Pay system
  • Assists in ad-hoc reports special projects as needed
  • Provide effective back-up coverage to other teams when the respective EA colleague is on leave
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding the group, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency
Qualifications
  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office products
  • Working knowledge of Workday
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Bachelor's degree or equivalent experience
