A leading company in Singapore is seeking an Executive Support professional to manage executive schedules, assist with operations and legal coordination, and serve as a liaison for ERP systems. Candidates must have relevant educational qualifications and previous experience supporting senior leadership. Strong organizational and communication skills are essential for success in this role.
Manage the Director’s calendar, meetings, travel, and correspondence.
Prepare meeting agendas, take minutes, and follow up on action items.
Draft and proofread reports, presentations, and official communications.
Coordinate internal and external meetings and handle sensitive information with discretion.
Support day-to-day business operations and assist with cross-departmental projects.
Track project timelines, deliverables, and performance metrics.
Prepare operational reports and summaries for management review.
Manage vendor and stakeholder communications, and assist with special projects.
Assist in reviewing contracts, agreements, and corporate filings.
Liaise with legal counsel on compliance and regulatory matters.
Maintain accurate records of legal documents and monitor key deadlines.
Conduct preliminary legal research and ensure proper documentation processes.
Serve as the communication bridge between the Director and ERP development teams.
Understand ERP functionalities to facilitate feedback and improvements.
Track implementation progress, assist in requirement gathering, and support user training.
Identify system enhancements to improve operational efficiency.
Bachelor’s degree in Business Administration, Law, Information Systems, or related field.
2 years & above of experience as a Personal or Executive Assistant supporting senior leadership.
Prior experience in legal administration or corporate compliance.
Working knowledge of ERP systems.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with ERP architecture and project management tools.
Strong data organization and documentation skills.
Quick learner with adaptability to new technologies.
Understanding of contract law, corporate governance, and compliance.
Ability to interpret legal documents and maintain confidentiality.
Exceptional organizational and time management abilities.
Strong written, verbal, and interpersonal communication skills.
High attention to detail and ability to manage multiple priorities.
Professional demeanor, integrity, and discretion in handling confidential matters.
Proactive, resourceful, and able to anticipate needs in a fast-paced environment.
Occasional overtime during peak periods or critical projects.
Some travel may be required for meetings or conferences.
