Job description

The Executive Assistant will function as the Personal Assistant (PA) to Director and form part of the Director’s Office, focusing in putting day-to-day business and personal aspects in priority, and being the image for the department. He/ she is someone meticulous and organised, ever ready to take on initiatives.

Duties & Responsibilities
  • Oversee various projects assigned by the Director across diverse business lines, community initiatives, and personal interests, managing interconnected activities and relationships.
  • Collaborate closely with Heads of Departments (HODs) for various projects.
  • Balance the interests of the company's stakeholders, including shareholders, management, customers, suppliers, financiers, government, and the community.
  • Manage Director’s calendar, travel, meetings, and schedules, facilitating appointments, securing necessary equipment and facilities.
  • Coordinate and prepare materials for local, regional, and international meetings/presentations, conduct meetings, and maintain accurate records of materials and meeting minutes.
  • Perform additional duties as delegated by the Director, including coordinating the operations of the Director’s office.
  • Handle ad-hoc duties as assigned by the Management.
Requirements
  • Diploma or Bachelor’s Degree in Business or equivalent.
  • For communication with our Malaysia clients, proficiency in Malay is a must.
  • High Proficiency in MS Office Suite.
  • Experience in corporate governance.
  • Discretion and confidentiality in scope of work.
  • Excellent written, verbal communication skills, with strong attention to detail and organization.
  • Willing to take initiative to learn and take ownership in work.
  • Must be willing to travel to other locations to coordinate meetings.
  • Outspoken with strong interpersonal skills and sense of responsibility.
