Job Description
- Assist in developing overall event plans and execution strategies, including concept development, audience targeting, and alignment with business or client objectives.
- Develop and manage event timelines and checklists, monitor deliverables, flag potential delays, and adjust timelines as needed.
- Monitor budgets and ensure all spending stays within approved limits; source cost‑effective solutions while maintaining quality.
- Coordinate with external vendors (AV, catering, equipment rental) to ensure timely delivery, quality assurance, and clear communication between vendor and internal teams.
- Source and purchase necessary items for the event (materials, equipment, décor).
- Organize logistics such as transportation, storage, delivery schedules, and inventory tracking; coordinate with venues for access, security, and operational needs.
- Develop and oversee event operations, including floorplan layouts, seating arrangements, and equipment placement.
- Coordinate presentations, slides, and media with speakers and emcees; ensure technical compatibility and provide AV support if needed; manage show flow and script timing during the event.
- Serve as point of contact on event day(s) to ensure seamless execution, including setup, registration, staff briefing, troubleshooting, and tear‑down.
- Ensure events meet brand standards, audience expectations, and client requirements.
- Maintain regular updates and clear communication with clients; manage expectations, provide recommendations, and address concerns; support long‑term relationship building and client satisfaction.
- Gather feedback from stakeholders, attendees, and internal teams; support in compiling post‑event reports, including performance metrics and improvement areas; assist in debrief sessions and apply learnings to future events.
Job Requirements
- Diploma or Degree in Event Management, Marketing, Hospitality, or a related field.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Minimum 2–4 years of experience in event coordination, project management, or related roles.
- Proven experience in managing end‑to‑end event logistics and operations.
- Strong understanding of event planning, budgeting, and timeline tracking.
- Experience liaising with vendors, clients, and internal teams.
- Comfortable working both independently and as part of a team.
- Able to manage multiple projects under tight deadlines.
- Willingness to work flexible hours, including weekends and evenings during events.
- Strong problem‑solving and crisis management skills.
- Exceptional attention to detail and organizational skills.
- Ability to remain calm and professional under pressure.
- Knowledge of Japanese foods, tourism places, culture, and characters of each area in Japan is an advantage.
