Roles & Responsibilities

As the Event Operations Manager, you will lead and manage all logistical and operational aspects of high-profile events, ensuring flawless execution and exceptional client satisfaction. Key responsibilities include:

  • Overseeing end-to-end event planning and execution, from initial layout design to final teardown, including floor plans, event set-up, and technical requirements.
  • Managing vendor relationships, sourcing and negotiating contracts for services and equipment, and ensuring quality and compliance.
  • Developing and managing event budgets, timelines, and production schedules to ensure all milestones are met within scope.
  • Coordinating with internal teams and external stakeholders to execute a cohesive event strategy.
  • Implementing and ensuring strict adherence to all local regulations, licenses, and safety protocols, including applications for required permits (SFA, SPF, COMPASS).
  • Conducting risk assessments and contingency planning to minimize operational issues.
  • Leading on-site event staff, including team coordination, delegation of duties, and performance management.
  • Providing post-event analysis and reports to guide future improvements and assess ROI.
Requirements

To qualify for this role, candidates must meet the following criteria:

  • Minimum of 5 years of experience in event operations or event management in a corporate, agency, or consultancy environment.
  • Proven track record in managing high-budget, complex events and handling responsibilities autonomously.
  • Strong proficiency in event planning software (such as SketchUp or AutoCAD for 3D layout planning) and Microsoft Office Suite.
  • In-depth knowledge of licensing and permit processes, with experience in applications for SFA, SPF, COMPASS, or equivalent regulatory requirements.
  • Advanced problem-solving skills and a strong ability to handle high-pressure situations and resolve on-the-ground issues.
  • Flexible work schedule, including weekends and overtime, as event schedules demand.
  • Demonstrated understanding of safety and risk management, including familiarity with workplace safety and health regulations specific to event management.
  • Exceptional interpersonal and communication skills to liaise effectively with vendors, clients, and team members.
  • Experience managing digital and hybrid events is a plus.
  • Bilingual proficiency in English and at least one regional language (Mandarin, Bahasa Melayu, or Tamil) to liaise with diverse clients and vendors across Southeast Asia.
Preferred Qualifications
  • Prior experience in financial or consultancy-related events is advantageous.
  • Familiarity with AI-driven tools for event management and client engagement.
  • Certification in event management or project management (e.g., PMP, CSEP) is a plus.
