Job Summary:

The Event Coordinator is responsible for planning, coordinating, and executing company and client events. The role involves managing event logistics, liaising with vendors, supporting on‑site operations, and ensuring events are delivered smoothly and efficiently while meeting quality and safety standards.

Key Responsibilities:
  • Plan, coordinate, and execute events, meetings, and functions according to company and client requirements.
  • Prepare detailed event proposals and plans, including timelines, venues, budgets, staffing, and supplier arrangements.
  • Manage and coordinate all suppliers and event logistics (e.g., venue setup, catering, housekeeping, and equipment).
  • Oversee project timelines and ensure events are executed as scheduled.
  • Provide on‑site support during events, including pre‑event setup and post‑event teardown.
  • Monitor event activities and ensure client and attendee satisfaction.
  • Continuously explore opportunities to enhance event offerings and improve service quality.
  • Work closely with the Finance team on vendor quotations, purchase requests, and invoice processing.
  • Verify and ensure accuracy of vendor documentation and completed paperwork.
  • Perform administrative duties to close off daily work orders related to events and meetings.
  • Consolidate event details for daily operational briefings and weekly reporting.
  • Communicate event and service requests effectively to the operations or support team.
  • Coordinate with relevant departments to ensure timely completion of work orders and high customer satisfaction.
  • Support front‑of‑house operations, including reception duties, to ensure seamless service delivery.
  • Provide administrative or site support in other areas when required, especially during manpower shortages.
  • Undertake any other ad‑hoc duties as assigned, based on operational needs.
Skills, Knowledge & Experience:
  • Minimum Diploma in Events Management, Hospitality, or a related discipline.
  • Proven experience in event coordination or a similar role.
  • Good understanding of event planning processes and basic statutory requirements for events.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with attention to detail.
  • Excellent communication and teamwork abilities.
  • Professional appearance with good personal grooming and hygiene standards.
  • Self‑motivated, proactive, and able to think creatively to resolve issues.
  • Fluency in English (written and spoken). Proficiency in a second language will be an advantage.
