Responsibilities
- Establish and enforce document control policies and procedures aligned with company QMS for Singapore operations.
- Receive, review, register and distribute incoming/outgoing documents (drawings, contracts, SOPs, regulatory filings) across internal teams and external parties.
- Maintain strict version control, naming conventions, controlled templates, and comprehensive document registers and transmittals.
- Coordinate document workflows and approvals with Operations, HR, Legal, and Finance
- Ensure PDPA-compliant handling, storage, retention; maintain consent logs and support data access/rectification requests.
- Prepare document status reports, compliance dashboards and audit packs; support ISO, client, and regulatory audits.
- Administer retention schedules per company policy and Singapore legal requirements; oversee secure archiving and retrieval processes.
- Train users, resolve issues and drive continuous improvement
Requirements
- Diploma/Bachelor’s in Information Management, Business, Engineering, or related field
- Min 3 years document control experience in Singapore within regulated sectors (maritime, construction/engineering)
- Solid knowledge of ISO 900 and records management standards
- Clear communication and stakeholder management skills
- Highly organized and proactive, comfortable with high document volumes and tight deadlines
