Position Summary
The Director of Operations is responsible for managing and ensuring the smooth execution of the organisation’s programmes, end-to-end supply chain operations, and information technology infrastructure. This is a hands-on and operationally focused leadership role that ensures programmes are run effectively, food procurement and logistics — including warehouse, storage, and transport — are managed efficiently, and IT systems remain reliable and secure.
The Director will lead the Programme Manager & Leads, Transport Manager (and Drivers), Logistics Senior Executive, and Senior Manager (IT/Infrastructure), fostering strong coordination between programme delivery, logistics, and technology. Reporting directly to the CEO, the role requires a practical leader capable of overseeing people, processes, systems, and resources to ensure the organisation delivers impact with professionalism, efficiency, and care.
Key Responsibilities
A. Programme & Beneficiary Management
- Supervise Programme Managers & Leads in planning, coordinating, and delivering all core programmes.
- Ensure programmes are run efficiently, meet objectives, and deliver tangible benefits to beneficiaries.
- Expand programme coverage and scale delivery to reach a greater number of beneficiaries.
- Oversee monitoring and reporting of programme outcomes for internal and external stakeholders.
B. Food Procurement, Logistics & Distribution
- Manage food procurement to ensure consistent, cost-effective, and high-quality supply for all programmes.
- Oversee warehouse operations, including inventory control, food storage, and movement of goods.
- Supervise the Transport Manager and Logistics Senior Executive to ensure effective fleet management, scheduling, and driver supervision.
- Ensure safe handling, timely delivery, and minimal wastage in food distribution.
- Implement operational processes and systems to improve efficiency and accuracy in warehouse and transport functions.
- Manage contracted third-party logistics (3PL) providers where required.
- Ensure all related assets and resources are available and well-maintained.
C. Information Technology & Infrastructure
- Provide leadership oversight of IT strategy, systems, and infrastructure through the Senior Manager (IT/Infrastructure).
- Ensure the reliability, security, and performance of IT infrastructure, applications, and digital platforms.
- Drive digitalisation initiatives to enhance operational efficiency, reporting, and transparency.
- Support warehouse, transport, and programme operations with fit-for-purpose IT systems and solutions.
- Liaise with IT vendors and consultants to maintain up-to-date and effective technology tools.
- Oversee IT risk management, cybersecurity, and compliance with data protection regulations.
D. Operational Coordination & Leadership
- Provide day-to-day guidance for Programme Managers & Leads, Transport Manager, Logistics Executive, and Senior Manager (IT/Infrastructure).
- Ensure strong coordination across programme, logistics, and IT functions for seamless delivery.
- Allocate resources effectively across operational areas.
- Develop work plans, track progress, and resolve operational challenges promptly.
- Support the CEO and Board with accurate operational data and performance reporting.
E. People Leadership & Development
- Provide supervision, coaching, and performance feedback to direct reports.
- Build teamwork and morale across programme, logistics, and IT teams.
- Identify training and development needs to strengthen operational and technical capability.
- Foster a culture of accountability, service excellence, and collaboration.
F. Compliance & Safety
- Ensure compliance with food safety standards, workplace safety regulations, IT security requirements, and other statutory obligations.
- Maintain proper documentation and reporting for audits and governance reviews.
- Manage operational risks related to programme delivery, procurement, warehouse, transport, and IT.
Requirements
- Bachelor’s degree in Business Administration, Logistics, Supply Chain, Information Systems, or related field.
- Minimum 10 years of relevant experience, with at least 5 years in operations or programme management leadership, including oversight of IT and infrastructure functions.
- Strong hands-on experience in warehouse, procurement, transport, and IT-enabled operations.
- Proven ability to manage multiple teams (programme, logistics, and IT) and coordinate effectively across functions.
- Practical, execution-focused leader with strong organisational and problem-solving skills.
- Prior experience in the non-profit or social service sector is an advantage; candidates from logistics, supply chain, or IT-enabled operations are also welcome.
