Job summary

A leading recruitment agency in Singapore is seeking an Administrative Executive to lead implementation of best practices and support the Managing Director in operational execution. The ideal candidate will have strong project management skills, experience with cross-departmental coordination, and proficiency in Japanese. Responsibilities
  • Lead company-wide implementation of best practices as an administrative executive.
  • Support the Managing Director in bridging management decisions with operational execution.
  • Coordinate and communicate effectively with Japan HQ to ensure local alignment with global policies.
  • Drive sustainable development and growth initiatives across the organization.
  • Manage project promotion activities including progress tracking, issue resolution, and steering committee operations.
  • Collect, organize, and disseminate internal best practices.
  • Facilitate coordination among departments and on-site teams.
  • Monitor and report on KPIs and performance indicators.
  • Liaise with internal and external stakeholders to ensure smooth information flow.
  • Prepare management reports and documentation.
  • Support policy planning and improvement proposals.
  • Contribute to talent development initiatives.
  • Promote globalization by integrating global and local perspectives.
  • Attend key meetings and prepare minutes to support executive decision-making.
Requirements
  • Experience in project management or administrative office functions.
  • Proven ability in cross-departmental coordination and project promotion.
  • Strong logical thinking and documentation skills.
  • Experience supporting or assisting executive-level management.
  • Experience in business coordination with Japan HQ.
  • Experience in business process improvement or reform projects is an added advantage.
  • Experience in company-wide project promotion is an added advantage.
  • Strong facilitation and presentation skills are an added advantage.
  • Management experience in a global company is an added advantage.
  • Proficiency in Japanese language for liaising with Japanese speaking clients and stakeholders.
