Job description

The University’s Student Management System (SMS) manages the complete student life cycle from attracting prospective students, to matriculation and through to graduation. As Deputy Director (SMS), you will lead the strategic planning and implementation of the next-generation SMS that will transform the delivery of University-wide student and academic services.

You will work closely with academic, administrative, and IT stakeholders across the University including the Student and Academic Services Department (SASD), Colleges, Schools, and the Centre for IT Services (CITS) to chart the direction for SMS development, plan the implementation roadmap, and ensure timely and cost-effective delivery of system enhancements.

You will:
  • Drive coordination, alignment, harmonisation and integration of systems and processes across business work streams; ensure that project efforts are effective and coherent in supporting the University's mission and strategic plan.

  • Leverage business knowledge, best practices and expertise to continually identify system improvements and enhancements, develop long-term strategies and short-term action plans, as well as recommend and implement solutions.

  • Champion the transformation of all student administration work streams by partnering with process owners in areas such as business process review and improvement.

  • Create and maintain a comprehensive documentation of the entire SMS.

  • Lead and support SASD business units in technology adoption that will improve effectiveness, efficiency and the of different groups of users such as students, faculty and staff.

  • Ensure that the appropriate data are properly captured in SMS to enable timely and effective data analytics that will inform policy decisions and optimisation of business operations.

  • Oversee risk and change management to minimise system related disruptions and ensure data security, integrity and compliance with policy.

  • Collaborate with the University leadership and other key stakeholders to establish goals and define priorities for business and technology solutions to meet institutional needs.

  • Collaborate with business work streams to review and configure business procedures/workflow and identify SMS features that may improve efficiency.

Ideally, you have:
  • Minimum 15 years of working experience with at least 10 to 12 years' of project management and change management experience with substantial experience as a Business Lead for enterprise-wide systems, preferably involving student management system in the tertiary education sector.

  • Proven leadership capabilities with a track record of working collaboratively across diverse stakeholder groups.

  • A good understanding of university operations and hands-on experience in a student management system, which will be an advantage.

  • Strong analytical and strategic thinking skills, with the ability to anticipate needs, connect the dots and plan ahead.

  • Ability to exercise thought leadership and influence senior stakeholders.

  • Excellent interpersonal and communication skills.

  • Agility in navigating change and dealing with ambiguity.

  • Ability to manage complex projects and multi-task with attention to detail.

  • A strong sense of ownership, with ability to drive outcomes and deliver results.

  • CITPM / PMP / PRINCE2 certification.

  • Bachelor's degree in any related field from a recognised University.

  • Familiarity with Oracle systems and tools such as RPA (e.g. UiPath), Power Automate and Denodo will be an advantage.
